Once your group passes 12 people, a party bus is almost always the smarter move. The math works better, the space works better, and the energy is built into the vehicle.

 

Go with a party bus if:

 

  • Your group is 12 or more. Everyone rides together. No splitting into two limos, no coordinating arrivals, no one getting left behind at the photo spot.
  • You want the ride to be part of the night. LED lights, a real sound system, a dance floor. The party bus turns the drive into a pre-party. For a lot of prom groups, the bus ride ends up being the highlight.

  • Prom season is peak season. Late April through early June overlaps with cherry blossom season and spring weddings. Fleet availability tightens and prices reflect that. Book early.
  • 3-hour minimum is standard. Most prom groups actually need 4–5 hours once you factor in pre-prom photos, dinner, the event itself, and drop-offs.
  • Day of week matters. Saturday prom nights are the most expensive. Thursday or Friday events are often cheaper.
  • Gratuity isn’t always included. 18–20% is standard for your chauffeur. Ask upfront whether it’s built into the quote or added on top.

What to Think About Before You Book

 

Six things that save prom groups headaches every year:

 

  1. Lock in your headcount early. Vehicle choice depends entirely on group size. Get a real commitment from everyone before you start shopping. “Maybe” doesn’t reserve a seat.
  2. Book 4–6 weeks out. DC prom season fills up fast. Late bookers get stuck with whatever’s left, which is usually not the vehicle they wanted at the price they wanted. Two to three months out is even better.
  3. Plan the full route. Pre-prom photos at the Lincoln Memorial steps → dinner in Georgetown → the venue → drop-offs. Your chauffeur needs the complete itinerary in advance so there are no surprises or wasted time.
  4. Assign one parent as the contact. One parent who has the chauffeur’s number and can handle last-minute changes. Not five parents texting separately. Not the students.
  5. Confirm the exact vehicle. Ask for photos of the specific limo or bus you’ll be getting, not “or similar.” Confirm the year, model, and condition. You don’t want surprises on prom night.
  6. Clarify gratuity and extras. Get the total cost in writing before you sign. Ask whether gratuity, fuel surcharges, tolls, and overtime rates are included or separate.

How many hours should we book for prom?

Can prom groups bring alcohol in a limo or party bus?

 

No. DC and Virginia law allows BYOB for passengers 21 and over in chartered vehicles. For prom, where all passengers are minors, absolutely no alcohol is permitted. Professional chauffeurs enforce this strictly. It protects the students, the parents’ peace of mind, and the company’s operating license.

 

How far in advance should we book prom transportation in DC?

 

Four to six weeks minimum. Two to three months is better. DC prom season (late April through June) overlaps with cherry blossom tourism and spring wedding season, so the entire luxury vehicle fleet gets stretched thin. The most popular vehicles (Hummer limos, large party buses) book out first.

 

What if our group size changes after booking?

 

Most companies, including Presidential Limousine, allow changes up to 48–72 hours before the event. If the group shrinks, no problem. If it grows beyond the vehicle’s capacity, you’ll need to upgrade, which is much easier to arrange weeks out than the day before. Another reason to book early.
